According to Tran Quang Huy, Chairman of the People's Committee of Hong Quang Ward, local authorities and educational institutions have actively built a sectoral database in conjunction with the national database to manage academic records, facilitating assessment, promotion to the next grade, school transfers, graduation, enrollment, and administrative procedures. The implementation of digital school records has contributed to improved efficiency and transparency in management, reducing the burden of paper records for teachers and schools.
Despite being located in a mountainous area with challenging teaching and learning conditions, Yen Bien Secondary School ( Tuyen Quang province) has effectively implemented digital transformation, including the creation of digital student records. Ms. Pham Thi Hoai Huong, the school's principal, shared that digital student records are created, stored, managed, and used in a digital environment. These records include information about the student, their academic progress, and their conduct according to current regulations.
Digital school records have the same legal validity as paper records when digitally signed or electronically authenticated by an authorized person as prescribed. The information in the digital record is created accurately and promptly, reflecting the student's academic performance, conduct, and personal information. The principal, teachers, and staff are responsible for digitally signing, verifying the data, and ensuring the accuracy of the information contained in the digital record.
Digital academic transcript data is connected and shared with the Ministry of Education and Training's database system, serving educational management at educational management agencies and supporting the innovation of teaching methods, testing, and evaluation. Learners can look up and access information online through the VNeID application to carry out related administrative procedures when needed.
Starting from the 2025-2026 school year, Ha Chau Primary School (Thai Nguyen province) will officially implement digital student records for all students from grades 1-5. Initial assessments by the school principal, Nguyen Quang Sang, indicate that the digital records have reduced the burden of administrative paperwork for teachers and facilitated administrative procedures for students. To ensure implementation, the school has equipped itself with computers connected to the internet; and has fully updated data on teachers, students, academic results, and conduct on the school's management software.
The principal issued a decision to establish a Database System Management Board; established a working group to implement digital student records, and selected personnel and teachers with IT application skills to form the core team for implementation. The implementation of digital student records has overcome the problem of inaccurate student information and has led to increasingly efficient and accurate management of student record information.
Meanwhile, according to Nguyen Thi Hong, Principal of Tan Hung Secondary School, the school has fully prepared its information technology infrastructure, facilities, and human resources to ensure the safe and smooth implementation of digital student records. Administrators and teachers have mastered the regulations and procedures for data entry, management, and exploitation. The school uses a unified digital student record management software on the Hai Phong education sector's database system, connected to the Ministry of Education and Training's database, to manage student records, electronic gradebooks, electronic student records, and teacher profile summaries, meeting the criteria of being "accurate, complete, clean, and up-to-date."
