Quang Nam strengthens data management in organizational restructuring.

Accordingly, the Chairman of the Provincial People's Committee requests the heads of departments, agencies; chairmen of the People's Committees of districts, towns, and cities; and chairmen of the People's Committees of communes, wards, and townships (hereinafter referred to as agencies, units, and localities) to direct the full implementation of legal regulations on document management and archiving, meeting related requirements.

All documents and document databases generated in the activities of agencies, units, and localities must be managed centrally, uniformly, and securely according to each archival collection; documents and document databases of any agency, unit, or locality must be cataloged and compiled according to the archival collection of that agency, unit, or locality.

The agencies, units, and localities shall close their archives from the date of cessation of operations. Agencies, units, and localities shall not issue administrative documents within their authority from the date the decision of the competent authority regarding the merger or cessation of operations takes effect.

Before and during the reorganization of the administrative structure, documents and databases must continue to be preserved in the archives of the Provincial Historical Archive and the archives of the administrative unit (or current storage location) before the reorganization.

The unauthorized possession, transfer, or destruction of documents and document databases is strictly prohibited; damaging or losing documents and document databases during the organizational restructuring process is also prohibited.

Strictly comply with legal regulations on the management and use of official seals and digital signature certificates; protect state secrets and ensure the security of information, documents, and data when performing tasks related to statistics, packaging, handover, storage, and use during the organizational restructuring process.
