At Tran Van Thoi General Hospital, the ChatGPT application has become a powerful "virtual assistant" for doctors, nurses and managers. Doctor CKI Tran Hai Lam, Head of the General Planning Department, is considered the "chief architect" of the digital transformation process here. With a solid foundation of expertise in information technology and more than 15 years of experience in quality management, Doctor Lam proactively studied, tested and built a system of ChatGPT application scenarios into actual work. From designing patient consultation response scenarios, preparing professional reports, supporting nursing planning, writing training articles, to responding to patient feedback, and building internal hospital policies - ChatGPT has gradually become a reliable partner.

The initial results are clear: text editing time is reduced by 50-70%; training content is more vivid thanks to AI suggesting lecture structures and illustrative slides; feedback is faster, more standardized and more emotional. In particular, the quality improvement initiative system is also "instrumented" thanks to ChatGPT, helping to increase the number of implemented initiatives and improve the quality of content.

One of the factors that contributed to the initial success of this model was the attention and strong direction from the hospital's Board of Directors. The hospital's leaders not only facilitated the policy, but also accompanied each small experiment and each specific application situation.

Doctor CKII Ha Thanh Son, Deputy Director of the hospital, shared: “First, the hospital shares its vision and technology techniques for employees to understand the benefits of the application in improving the quality of hospital operations, so that they can implement it. Second, it supports costs for employees to access AI technology applications in healthcare . Third, it creates an environment that encourages creativity, helps employees apply AI technology, and proposes solutions and initiatives to apply to the hospital. Fourth, the hospital recognizes and appreciates the achievements of each individual, creating efficiency in medical examination and treatment. Finally, the hospital always listens to and supports employees, regularly visits and grasps difficulties to provide timely support when applying AI technology in medical examination and treatment.”

The atmosphere of openness and respect for individual creativity spread to every department and room. Many medical staff were initially hesitant about new technology, but gradually became interested.

Nurse Trinh Ke An of the Internal Medicine Department said: “Previously, when a patient was discharged from the hospital, it took a long time to look up the prescription. Since the ChatGPT application, looking up the prescription is very fast. In addition, in the past, making a handwritten care plan took a lot of time. Now, making a care plan with AI saves a lot of time.”

However, the journey of innovation has not been smooth. “We do not have a team of AI experts, a separate budget for digital transformation, or a separate IT center like other hospitals. Everything started from zero,” Dr. Lam shared.

Most of the ChatGPT training activities for staff were directly designed by him, building interactive shortcuts, instructing on writing prompts and editing responses to meet medical - administrative - legal standards... "Training" the conversational AI tool to use correctly, safely, and without causing misunderstandings in the hospital environment is a big challenge. But from there, the hospital staff learned how to approach new technology more flexibly, responsibly and creatively.

With a long-term vision, Tran Van Thoi General Hospital does not consider ChatGPT simply as an assistant software. “We are building a smart hospital ecosystem with artificial intelligence as the core, dataizing the entire operating process and applying AI to the stages of checking records, analyzing quality dashboards, monitoring process compliance and supporting decision making,” Dr. Lam shared the upcoming orientation.

In the near future, the hospital is planning to deploy specialized ChatGPT training courses for each block: treatment, nursing, administration, planning - quality..., gradually turning AI into a true companion of medical staff./.
