The Chairman of the Provincial People's Committee requested provincial departments, branches, sectors and People's Committees of communes and wards, based on their functions and tasks, to strengthen propaganda, dissemination and education for civil servants, public employees and workers in agencies and organizations on the safe preservation of records and documents during the storm season; proactively monitor and update developments of storms and floods on mass media to proactively protect and ensure the safety of records and documents, and minimize damage caused by storms and floods.
Heads of agencies and organizations must arrange forces and develop plans to protect rooms and archives; move or place documents and files on high shelves, not near windows or places that are likely to get wet; check, monitor, prevent, repair and strengthen door systems, electrical systems, lightning protection and safe grounding systems, drainage systems and trees in agency and organization headquarters.
In case of damage or loss of records and documents caused by storms, it is necessary to promptly report to the Chairman of the Provincial People's Committee (through the Department of Home Affairs) for consideration and direction to remedy the damage.
The Chairman of the Provincial People's Committee assigned the Department of Home Affairs to monitor, urge, remind, and inspect agencies, units, and localities in implementation; promptly advise the Chairman of the Provincial People's Committee to rectify and handle cases of implementation that do not comply with regulations.
