Establishment of the Media - Culture Subcommittee for the signing ceremony of the Hanoi Convention

Accordingly, the Head of the Steering Committee for the Hanoi Convention Signing Ceremony decided to establish the Media - Culture Subcommittee for the Hanoi Convention Signing Ceremony.

The Media - Culture Subcommittee also has members including leaders of the Office of the President, Vietnam Television, Voice of Vietnam, Vietnam News Agency; representatives of units of the Ministry of Public Security, Ministry of Foreign Affairs, Central Propaganda and Mass Mobilization Commission, Central Steering Committee 35...

The Communications - Culture Subcommittee is responsible for: Developing and implementing a communications project for the Convention signing ceremony and related events; synchronously implementing communications activities before, during and after the event on media and digital platforms (press, radio - television, social networks, international media); Managing information, handling and responding to media crises (if any); Coordinating with the Content Subcommittee and the Finance - Logistics Subcommittee to advise on choosing the logo and identity of the event; Compiling media publications (flyers, introductory videos, event documents, etc.); Establishing and managing the international press center at the event.

Hold an international press conference as usual before the event.

Act as a liaison with UN media agencies, including developing a joint media plan, sharing content, and allocating international media time and space for the event.

Organize, coordinate and supervise live media activities during the event including managing camera locations, TV technical services, press conference areas, quick interview areas, ensuring event information is conveyed quickly, accurately and effectively.

Receive, license and manage the team of foreign reporters and press participating in reporting on events, including supporting registration, providing documents, organizing press conferences, issuing press cards and guiding on-site operations according to the correct procedures. During the implementation of the Project to organize the Opening Ceremony of the Hanoi Convention, the Subcommittee is responsible for synthesizing and promptly reporting to the Head of the Steering Committee and the Standing Secretariat on unexpected issues to seek guidance before implementation.

The members of the Subcommittee work part-time, mobilize and use the apparatus, staff and means under the management authority of their agency to serve the activities of the Subcommittee. Depending on the content and nature of the work, members are summoned at the request of the Head of the Subcommittee.

The Head of the Subcommittee is in overall charge, decides on the assignment, stipulates the work coordination regime, the periodic meeting regime or convenes meetings when necessary to handle work flexibly and effectively; coordinates work with the Standing Secretariat, coordinates with other Subcommittees, relevant agencies and localities; is responsible to the Head of the Steering Committee for assigned tasks.

The Standing Deputy Head of the Subcommittee and the Deputy Head of the Subcommittee assist the Head of the Subcommittee in general management and participate in the management of the Subcommittee's work; directly direct the affiliated agencies and units to perform assigned tasks; attend meetings of the Steering Committee, the Standing Secretariat and other Subcommittees when authorized by the Head of the Subcommittee.

Organize regular meetings in the Subcommittee to review work, update progress, coordinate activities in the Subcommittee as well as inter-sectoral activities and report to the Steering Committee; recommend and propose additional members of the Subcommittee if necessary.
