In particular, the implementation of electronic medical records is a breakthrough step that modernizes processes and optimizes management. This solution not only brings convenience to the public but also significantly enhances the efficiency of professional operations.

From Kiosks to Smart Electronic Medical Record Systems

To minimize waiting times and cumbersome procedures for patients, from October 1, 2025, Dong Van Regional General Hospital officially implemented electronic medical records to replace paper medical records; used, stored, and transmitted medical images instead of printing films; and used and stored test results information to replace the previous paper printing.

In parallel, Dong Van Regional General Hospital is also actively implementing Project 06 on digital transformation in the healthcare sector by deploying patient reception through various methods including: health insurance cards, citizen identification cards, VssID, and VneID. In particular, the hospital has installed kiosks (automatic number dispensing machines) in the outpatient area to save time for patients.

Digital transformation at Dong Van Regional General Hospital has brought significant convenience to the people. Ms. Nguyen Thi Tam from Pho Bang commune is very satisfied with the significantly reduced waiting times. Thanks to the digitized process from number taking to record management, administrative procedures are handled more efficiently. In particular, the integration of QR code payment at the counter makes all transactions safer and faster. These improvements not only reduce procedural burdens but also enhance the healthcare experience for the people.

Instead of manually searching through paper records, nurses now only need to operate on the electronic medical record system to prepare medications and carry out medical orders. Midwife Nong Thi Van from the Obstetrics and Gynecology Department shared that the new technology has significantly reduced work time and pressure. Instead of having to move between departments to search for records as before, healthcare workers can easily access patient data directly on the software, making the workflow faster and more accurate.

With the electronic medical record system, every patient visiting the hospital has their information quickly verified through biometrics. Healthcare staff provide thorough guidance on each step for the elderly, ethnic minorities, and others, helping them access the technology naturally and confidently. No more carrying stacks of paper files, no more worries about lost information. Electronic medical records bring transparency, accuracy, and reduced waiting times, while also supporting doctors in diagnosis and treatment.

Electronic medical records will help patients avoid having to store all kinds of documents when going for medical examinations and treatment, such as diagnostic results and test results. Currently, 100% of departments and wards notify patients of their stay through the online public service portal or via the ASM (Admission Monitoring System) software for patients receiving treatment.

Dong Van Regional General Hospital is the fourth medical facility in the province to implement and use electronic medical records. Dr. San Van Cuong, Director of Dong Van Regional General Hospital, said: “The implementation of electronic medical records has helped patients avoid worrying about storing all kinds of accompanying medical examination and treatment documents, losing test results, or having difficulty reading doctors' prescriptions. Patients can easily compare test results. For the hospital, searching and retrieving information is quick and accurate. Digitally stored patient information ensures data security for a long time, avoiding damage from damp weather like paper medical records. In addition, the transmission of patient data between departments is also faster. When information about patients' health is seamlessly shared between departments, it will help improve diagnosis and coordinated treatment.”
From October 2025 to the present, since the hospital began implementing electronic medical records, it has created 4,012 electronic medical records; of which, 3,881 records are for completed treatment and 131 records are for ongoing treatment; 94% of payment records are sent to the health insurance claims portal immediately after the patient is discharged, and simultaneously uploaded to the industry's data portal.

Implementing electronic medical records is a strategic stepping stone for Dong Van Regional General Hospital to build a smart hospital model. Digitizing data enables the application of many modern conveniences, improving the quality of medical examination and treatment. This is the foundation for the local health sector to innovate, aiming for the satisfaction and health of the people as its central goal.
