The Plan was issued to specify the objectives and tasks of preparing and organizing the 8th ASEAN Ministerial Meeting on Sports (AMMS 8) and related Conferences in 2025 in Vietnam according to the Project approved by the Government under Official Dispatch No. 340/VPCP-QHQT of the Government Office dated January 13, 2025 and Decision No. 1239/QD-BVHTTDL dated May 5, 2025 of the Minister of Culture, Sports and Tourism on the establishment of the Organizing Committee of the 8th ASEAN Ministerial Meeting on Sports and related Conferences in Vietnam in 2025.
The plan also aims to identify and assign tasks to relevant agencies and units as a basis for implementation.

The plan requires the organization of the 8th ASEAN Ministerial Meeting on Sports and related meetings in 2025 in Vietnam to ensure solemnity, international protocol and ASEAN practices, practicality, efficiency, safety, economy, and avoidance of waste; actively mobilizing social resources to voluntarily contribute to the preparation and organization of the Conference. At the same time, ensuring unified and in-depth leadership and direction and close and effective coordination of agencies, units, and localities in organizing and implementing.
According to the plan, with the preparation of the content and program of the Conference, it is necessary to ensure that the content of the Conference is carefully and thoughtfully prepared. Develop a detailed plan and program. Provide advice and propose professional opinions and initiatives for each specific content. Timely summarize and report the results of the Conference.
Regarding the organization, reception, ceremony and logistics, it is necessary to ensure the reception, welcoming and seeing off of the Conference participants (including VIPs, invited guests, the ASEAN Secretary General, delegations of 11 Southeast Asian countries, delegations of ASEAN partners including China, Japan and delegations of international organizations) in a respectful, thoughtful, economical and effective manner, in accordance with diplomatic protocol and international practices, while demonstrating national identity, friendliness, hospitality, and creating a good impression on international friends.
Arrange and organize accommodation and meals for delegations to ensure convenience during the Conference. Mobilize, guide and use a number of volunteers and members of sub-committees to participate in serving the Conference. Coordinate the organization of meetings before and during the Conference. Coordinate the organization of the ceremony to transfer the role of Vietnam to Cambodia.
Security and medical work must ensure good security and medical work at the Conference area, at the hotel, and transportation and pick-up and drop-off between the airport and the hotel for delegates attending the Conference.
The Communication Department needs to ensure that information and propaganda about the Conference are provided regularly and promptly, meeting the information needs of press agencies; widely disseminate information on media and social networking platforms about the preparation and organization of the conference to enhance the position and role of Vietnamese sports in the year of hosting ASEAN on Sports.
The proposed plan requires relevant subcommittees to develop specific plans for their subcommittees and report to the Head of the Conference Organizing Committee for implementation. During the implementation process, if there are any difficulties or problems, the subcommittees and units shall report to the Conference Organizing Committee (through the Vietnam Sports and Physical Training Department) for timely consideration and resolution./.
