Post offices 'race' to deliver during peak year-end season

Hai Phong City Post Office has implemented many measures to improve service quality as demand for goods delivery increases in the last months of the year.

Delivering over 17,700 items per day

From 5am, the weather was cold, but at the post office in the central wards of the city at 5 Nguyen Tri Phuong (Hong Bang ward) belonging to the City Post Office, the atmosphere was bustling and urgent, everyone was doing their own work. The work was specialized in each stage from sorting, dividing goods and loading goods onto vehicles. The postal force was present early, receiving goods according to the area in charge and then quickly spreading out to the roads, delivering mail to the recipient as soon as possible...

Such work takes place regularly every day, with peak hours from 5 to 8 am at nearly 500 post offices of the City Post Office covering 114 communes, wards and special zones. At the end of the year, the work becomes even busier when the amount of goods and mail increases sharply.

Especially after the merger, the old Hai Duong Provincial Post Office and Hai Phong City Post Office were merged under the name of Hai Phong City Post Office, with a wide operating area and many times larger number of customers served than before, requiring more efforts from the entire system in ensuring and improving the quality of services, especially delivery services.

According to the Operations Center (City Post Office), through actual exploitation, at the end of the year, the amount of delivered goods will increase by 20 - 30% compared to normal, from the beginning of the fourth quarter of 2025, an average of about 533 thousand postal items/month, equivalent to more than 17,000 postal items/day, the volume of transported goods is about 920 tons of documents and goods.

This is the time when businesses offer many promotional programs, deep discounts, and stimulate consumption. Manufacturers and suppliers of goods deploy product distribution to the market to be ready to serve people's activities during Tet.

Along with that, the development of e-commerce with the trend of shifting to online shopping has led to the development of shipping services... Therefore, ensuring timely delivery of goods to recipients with good quality and customer satisfaction poses great demands on the City Post Office in the last months of the year.

Increase shipping frequency

According to Mr. Nguyen Ngoc Hoang, Director of the Operation Center, City Post Office, in response to the high volume of goods delivered at the end of the year, the unit has developed a plan and prepared appropriate solutions. In particular, it will mobilize maximum human resources and means to increase the frequency of transportation, ensuring the circulation of goods to serve and meet the needs of customers.

The city post office is maintaining nearly 200 means of transport including cars and specialized motorbikes. Every day, there are 20 inter-provincial transport trips to Hai Phong city. Particularly in the inner city area, every day there are about 50 transport trips from central points to 114 communes, wards, and special zones to transport goods, letters, documents, official dispatches, etc. Based on the actual output arising at the end of the year, the post office will continue to add means of transport, increase trips during the day to promptly clear goods.

Regarding human resources, the City Post Office has determined to mobilize the maximum number of postmen to work shifts, encourage them to deliver overtime on days with high postal volume and deliver postal items on holidays. Along with that, the unit prepares plans to supplement seasonal human resources at all stages, and assigns reasonable shifts and shifts to meet the sudden increase in output.

In the immediate future, to ensure the timely delivery of official dispatches, letters, documents and goods, the City Post Office is arranging nearly 1,000 workers to deliver postal items to agencies, businesses and people. Particularly for KT1 service (public administrative postal service), nearly 250 specialized staff are arranged to perform, serving continuously 24/24 hours.

In addition to increasing human resources and facilities, the City Post Office optimizes software to reduce manual operations, increase labor productivity, apply AI in forecasting output and coordinating resources; digitize the exploitation - transportation - delivery process to shorten delivery time. At the same time, deploy automatic, modern dividing and selecting applications connecting with all provinces and cities, helping customers manage orders and the journey of goods movement.

As a regular customer using the postal delivery service of the City Post Office, Ms. Luong Thi Ha at 48/104 Ton Duc Thang Street (An Bien Ward) assessed that recently the service quality has improved a lot, better than before. In particular, the public administrative postal service is very convenient, fast, saving time and costs.

To improve competitiveness, the City Post Office focuses more on the customer care process before, during and after using the service. The Post Office increases interaction with customers through hotline channels, online chat, and quickly responds to questions and complaints. Thereby, it grasps customers' needs and assessments of service quality to make appropriate adjustments and improve service quality... The unit also expands customer service hours outside of working hours and on weekends to meet the needs at the end of the year; strengthens the monitoring and control of postal quality at all stages and processes, minimizing errors in delivery.
