In recent years, with the development of artificial intelligence (AI), SaaS tools have become an indispensable part of the workflows of many organizations. Businesses often use various tools to store documents in the cloud, share documents across multiple devices, and collaborate in real time.

However, using multiple applications simultaneously means users have to constantly switch between different platforms, leading to the potential for files and data to be scattered and potentially leaked during group communication.

81% of organizations experience data leaks from SaaS.

A report by Varonis revealed that in 2022, 81% of organizations experienced data leaks from SaaS, with 6% of cloud data being disseminated across the entire internet. This put the data of many organizations at risk, potentially causing losses of up to $28 million.

This report highlights several common security issues in SaaS tools. First, sensitive data is often unprotected. SaaS tools facilitate remote work and easy data sharing. While the responsibility for protecting the infrastructure lies with the service provider, preventing data leaks rests with the user. Many organizations are unaware of what data is stored on SaaS and who has access to it. This can lead to security vulnerabilities and information leakage risks.

Secondly, there's the issue of managing distributed data on SaaS. Within the same organization, different departments use different SaaS applications, often without notifying the IT department. These third-party applications are therefore not considered in the company's security strategy. Furthermore, many SaaS applications have their own security features that need to be properly configured, which can easily lead to errors and create vulnerabilities within the organization. As the number of applications involved in the workflow increases, the risk of data leakage also increases.

Thirdly, incorrect cloud configuration and dispersed control are major issues. SaaS providers frequently update their applications with new features, making it difficult for IT administrators to maintain the correct configuration. Incorrect configuration can lead to data breaches. According to a Gartner report, by 2025, 99% of cloud-related breaches will be due to end-user errors, including configuration mistakes.

Many organizations possessing sensitive data, such as those in finance, healthcare, and education, are concerned about security and cost. Therefore, many have opted for on-premise productivity tools as an alternative due to several advantages.

First, secure collaboration in a private cloud. Productivity tools operate in a private cloud, enabling the creation of documents, spreadsheets, presentations, simultaneous editing, and remote access while maintaining the security of the internal network.

Secondly, there's centralized data management. Tools like Synology Office Suite provide office applications on a single platform and have a centralized management dashboard, allowing IT administrators to monitor user activity and establish comprehensive security for the organization.

This tool is also considered effective in avoiding cost increases due to subscription plan changes. Cloud providers can raise prices, leading to budget overruns. With an on-premises solution, businesses only pay once for long-term use without recurring fees, allowing for better budget control.
