The 2025-2026 school year is the second year that Thach Linh Primary School (Thanh Sen Ward) has deployed the use of digital transcripts. This application is built to store student records in a digital environment, with electronic authentication signatures from authorized individuals and organizations. Digital transcripts ensure complete and accurate storage of student information and learning and training results; at the same time, they are consistent and cannot be changed when released.

On the digital transcript application, student information is stored and extracted easily by school year.

Ms. Le Thi Tham - teacher of class 2A1, Thach Linh Primary School shared: "Previously, my colleagues and I had to spend a lot of time entering scores and writing comments for students on paper report cards. Just being negligent can easily cause mistakes, and correcting errors by erasing also makes the report card less aesthetically pleasing. Since implementing digital report cards, these limitations have been eliminated."

Deploying digital report cards, teachers will be given shared accounts to perform the task of recording regular scores, midterm scores, final scores; assessing students' abilities and conduct... Then the system will automatically synthesize and evaluate. Teachers only need to check and sign, then the principal approves and stamps the archive.

Recording at schools, digital report cards bring many benefits, notably: helping reduce bookkeeping pressure for teachers and schools; saving time and money compared to using paper report cards; teachers can enter scores for students anywhere with just a smart device and internet connection.

Digital transcripts help teachers save time on paperwork and focus on professional work.

Ms. Phan Thi Tam Tu - Principal of Le Binh Secondary School (Thanh Sen Ward) said: "In the 2024-2025 school year, the school began to pilot the digital report card. The implementation process showed many practical benefits such as helping teachers save time to focus on teaching; on the school's side, it reduced printing costs, book management, convenient storage, preservation, and increased professionalism."

"At Phuc Loc Primary School (Tung Loc Commune), on average, the school has to process more than 800 paper report cards each school year. Each homeroom teacher has to complete 35 report cards per day. However, the pressure to complete records during the school year has been greatly reduced since the school switched to digital report cards. Accordingly, it takes teachers about 5 minutes to sign a class's report card; it takes the principal about 15-20 minutes to sign report cards for 5 grades and 24 classes," said Nguyen Tuan Dung, Principal of Phuc Loc Primary School (Tung Loc Commune).

To effectively implement the digital report card from the beginning, schools have organized training and guided teachers on how to operate each specific step. For difficult points and bottlenecks that have not been implemented, schools have discussed with the supplier to receive technical support.

In the 2025-2026 school year, 100% of primary schools in Ha Tinh will deploy digital transcripts.

In recent times, the Ha Tinh Department of Education and Training has made efforts to digitize all relevant documents in the implementation of management and operation to save time and finance. As part of the industry's digital transformation roadmap, up to now, 100% of primary schools, 3 secondary schools, 4 high schools and 3 vocational education and training centers have piloted the use of digital transcripts.

Mr. Dau Quang Hong - Head of General Education Department, Department of Education and Training of Ha Tinh province emphasized that digital transcripts are an important solution in implementing administrative reform and digital transformation tasks in the education and training sector. According to the assessment, currently most of the managers and teachers at the above educational institutions have proficiently applied digital transcripts. The department also regularly updates information, monitors, and provides professional advice and support for schools to effectively implement.

Replacing traditional paper report cards with digital report cards to be ready to connect with the information management system of the Ministry of Education and Training is an inevitable trend today. However, besides the benefits, some schools are still facing difficulties in the process of implementing digital report cards such as: difficulties in facilities; information technology infrastructure, limited teaching staff in using software skills... Therefore, the Department of Education and Training is also focusing on coordinating with relevant units to come up with plans to quickly remove and overcome difficulties, creating conditions for the implementation to be widely applied in the province.
