Building a modern, convenient and transparent medical examination and treatment environment

Thanh Hoa Oncology Hospital has put into use the smart medical KIOSK system, allowing patients to self-register for examination, print queue numbers, look up test results and pay hospital fees.

Step by step modernization of medical examination and treatment process

As a grade I provincial specialized hospital, Thanh Hoa Oncology Hospital is responsible for examining, diagnosing, treating and caring for cancer patients in the province and neighboring areas. On average, the hospital receives from 600 to 800 outpatient visits and hundreds of inpatients every day. In the context of an increasing number of patients, innovation in management processes and technology application has become urgent. Recognizing that requirement, the hospital's board of directors has developed a comprehensive digital transformation plan, associated with the goal of developing a smart hospital. Many technological infrastructures have been invested synchronously, such as internal network systems for each department, centralized data storage servers, information security systems and specialized management software.

At the examination area, the hospital management software system (HIS) is applied synchronously, connected online with the Vietnam Social Security database. When coming for examination, patients only need to use their citizen identification card with chip or identification code to receive and create medical records. Information on health insurance card, medical history, and examination history is automatically updated, helping to significantly shorten the time for procedures. In particular, paraclinical indications such as tests, ultrasounds, and diagnostic imaging are performed entirely in the electronic environment. Test results, X-rays, CT, MRI... are stored via the PACS system, allowing doctors to access directly from computers in any department, instead of having to print on paper as before. Thanks to that, waiting time is reduced by 15 - 30 minutes per turn, making it more convenient for patients and the treatment process smoother. In inpatient departments, medical records are updated in real time, helping doctors monitor disease progression accurately and continuously, limiting errors and improving consultation efficiency.

It is known that in March 2025, Thanh Hoa Oncology Hospital officially deployed electronic medical records - an important turning point in the digital transformation journey. On September 1, 2025, the hospital published electronic medical records on the Ministry of Health 's information portal. This application helps manage data effectively, reduce administrative procedures, save costs and most importantly, improve the quality of patient service. Not stopping there, the hospital has put into use the smart medical KIOSK system, allowing patients to self-register for examination, print queue numbers, look up test results and pay hospital fees, helping patients be more proactive, all operations take less than a minute. Information on queues and examination rooms is displayed publicly, avoiding crowding and creating a professional working space. From June 2025 to present, more than 21,000 patients have used this service, accounting for 99.5% of total visits.

The hospital also installed a queue display system in the examination, ultrasound, X-ray areas... to help publicize and make transparent medical examination and treatment activities, reduce waiting time and create satisfaction for the people.

Project 06 - a big step forward for patients and modern management

In parallel with electronic medical records, Thanh Hoa Oncology Hospital has effectively implemented the Government's Project 06 on developing population data applications, electronic identification and authentication. Since the beginning of 2025, 99.5% of patients coming for medical examination and treatment have used chip-embedded citizen identification cards, while 0.5% have used the VNeID application. Data connection with the Vietnam Social Security portal helps to reduce procedures while ensuring the confidentiality and accuracy of patient information.

Not only serving the people, digital transformation also helps the hospital manage more effectively. All staff data is stored centrally, monitoring the work process, transparently and scientifically evaluated. In particular, the hospital has linked medical data with HIS, LIS, PACS systems, electronic health books and the national medical data portal. From January to September 2025, the hospital organized 32 inter-hospital consultation conferences with central hospitals, contributing to improving the quality of remote diagnosis and treatment. The hospital also deployed 100% of inpatient stay declarations on ASM software, with more than 11,000 declarations, ranking 3rd in the province in terms of implementation rate (after Thanh Hoa General Hospital and Children's Hospital). In addition, the integration of health insurance cards and electronic health books on the VNeID application from March 2025 will help patients easily manage medical information and enjoy insurance benefits via mobile phones.

Ms. Tran Thi H., Tho Phu commune, a patient being treated at the hospital, shared: "I have been treated here for nearly two years, and I see the hospital changing every day. Procedures are faster, I no longer have to fill out paperwork or wait like before. The doctors and nurses also support very thoughtfully, I feel really secure."

"Digital transformation at Thanh Hoa Oncology Hospital is not only about applying technology, but also a fundamental change in management thinking and service style. All activities are aimed at "paperless hospital - smart hospital - for patients". In the coming time, the hospital will continue to invest in data storage equipment (SAN, NAS), biometric signature system, security firewall, and at the same time train staff on digital transformation and information security. The goal is to completely eliminate paper medical records by the first quarter of 2026, becoming one of the pioneering units in the province to operate the "paperless hospital" model, towards a modern, convenient, transparent medical examination and treatment environment, bringing satisfaction and trust to the people", said Nguyen Quang Hung, Deputy Director of Thanh Hoa Oncology Hospital.
