Kien Giang inspects and guides the work of documents and archives during the process of organizing the apparatus.

(Chinhphu.vn) - In order to ensure that the management of records and documents is carried out strictly, scientifically and effectively in the process of reorganizing the apparatus in the spirit of Conclusion 127-KL/TW of the Politburo, the Department of Home Affairs of Kien Giang province has established a working group to guide and inspect the work of documents and archives at the district and commune levels throughout the province.

Accordingly, implementing Official Dispatch No. 414 / BNV-VTLTNN dated March 19, 2025 of the Ministry of Home Affairs and the directions of the People's Committee of Kien Giang province, the Department of Home Affairs of Kien Giang province issued a plan on organizing a delegation to guide, inspect, collect statistics, pack, receive, hand over and preserve records and documents at localities related to the arrangement of the apparatus.

The inspection team inspected the current status of document storage and guided specialized agencies to carry out the procedures for statistics, sealing, packaging, transporting and preserving documents in accordance with regulations. In addition, the team also focused on reviewing the arrangement of storage warehouses, offices, necessary equipment as well as personnel serving document and archive work.

Through the actual inspection in An Minh district, Mr. Ho Minh Hai, Deputy Director of the Department of Home Affairs of Kien Giang province , Head of the working delegation highly appreciated the strong leadership of the leaders of An Minh district in preparing and arranging rooms, warehouses, and shelves for storing documents of the departments. The district's expertise is basically guaranteed. However, regarding the archival work of some departments and offices , it is necessary to speed up the progress to meet the prescribed time.

According to Mr. Hai, the process of organizing the apparatus and documents is an important part that needs to be preserved seriously and scientifically . The inspection not only helps to assess the current situation and remove difficulties, but also guides localities to carry out document and archive work smoothly and without interruption, contributing to serving well the work of management, direction and archiving local administrative history.

Speaking at the meeting, the representative of An Minh District People's Committee , Mr. Le Ngoc Tung, Vice Chairman of An Minh District People's Committee, said: The merger of organizational structure is a big step and records and documents are factors that need special attention. An Minh District welcomes the timely support from the Department of Home Affairs. Through specific instructions, the locality has reorganized the archives more scientifically, clearly assigning the responsibilities of the officers in charge to ensure that records are not lost or interrupted.

Mr. Le Ngoc Tung requested that the district's departments and professionals continue to urgently complete the process of arranging, classifying, sealing, packaging, transporting and preserving documents in accordance with regulations to ensure speed and on schedule.

Accordingly ,​ The working group conducted inspections and provided direct guidance in 15 districts, towns and cities in Kien Giang province . The content focused on three main groups of issues: the current status of document and archive management in localities; plans for handing over and receiving documents during the reorganization of administrative units; human resources conditions , facilities for archiving and proposed solutions to overcome difficulties.

Document and archive work plays an important role in state management, is the legal basis, is the "administrative memory" of each locality. In the context of the organizational structure being rearranged, the storage and transfer of records in a scientific and transparent manner becomes more urgent. The synchronous and correct implementation of this work will contribute to ensuring the inheritance and stability in the operation and management of the authorities at all levels after the rearrangement.
