In the context of digital transformation spreading across all fields, the application of modern management tools such as key performance indicators (KPI) has become an inevitable trend. In Thai Nguyen, the implementation of KPI in a number of educational institutions and enterprises has initially shown clear effectiveness, opening up new directions in improving human resource quality, increasing labor productivity and innovating management.

Advances in university governance

The University of Information and Communication Technology ( Thai Nguyen University) is one of the major training institutions in the field of information and communication technology in Thai Nguyen province, as well as the Northern region. The school currently has nearly 10,000 students studying 24 training programs, with a team of 358 staff, lecturers and employees.

Since 2023, the school has been one of the pioneers in the area in applying KPIs to evaluate work performance. The university education environment requires high academic and personal creativity, so quantifying work performance is a challenge. However, practice shows that KPIs can become an effective management tool, supporting the school in developing its teaching staff.

According to Associate Professor Dr. Phung Trung Nghia, Principal of the University of Information Technology and Communications: Applying KPI helps improve the effectiveness of human resource management, promoting innovation and creativity at work. Performance evaluation is not imposed or rigidly controlled, but is based on a system of indicators designed to suit the specific characteristics of the profession, associated with specific tasks such as teaching, research, guiding students, and participating in professional activities.

Thanks to clear and quantifiable criteria, lecturers have a basis to review work performance objectively, thereby adjusting professional behavior in a positive direction. Work performance therefore also changes clearly.

Sharing about the application of KPI index, Dr. Nguyen Thanh Hai, lecturer of the Faculty of Information Technology (University of Information Technology and Communications), said: The application of KPI helps lecturers to be more proactive in their work, while clarifying the implementation roadmap and output results. Based on the assigned index, each person can monitor the progress and evaluate the effectiveness of their work in a specific and transparent manner. This approach has received consensus and satisfaction from the school's staff and lecturers.

In practice, the application of KPI in evaluating the performance of staff and lecturers at universities is becoming an inevitable trend, contributing to optimizing processes, increasing transparency and improving quality. Compared to previous manual methods that are time-consuming and prone to errors, KPI brings clear efficiency in management.

Improve labor productivity, work awareness

Not only in the field of education, KPI is also effectively applied in production and business. A typical example is TNG Investment and Trading Joint Stock Company, a large garment manufacturer in Thai Nguyen. With the characteristics of industrial production requiring high labor discipline and strict operating procedures, implementing KPI in the company is a strategic step to optimize resources and improve performance.

Since its implementation, KPI has not only been a performance monitoring tool, but also a lever to change the mindset and behavior of employees. Instead of working by inertia, each officer and employee has clear goals, linked to specific indicators. Employees are no longer vague about evaluation criteria but clearly understand the expectations from management, thereby enhancing their sense of responsibility and initiative in work.

It is noteworthy that KPIs at TNG are not rigidly applied according to a template, but are flexibly designed for each production department. The system of indicators is built on the basis of actual capacity and periodically adjusted according to the production and business situation. This approach contributes to creating consensus within the team, reducing conflicts and increasing transparency within the enterprise.

Ms. Nguyen Phuong Thuy, Head of Organization Department of TNG said: Through practical application, TNG recorded a clear increase in labor productivity. Sewing lines operate more efficiently, the rate of defective products is significantly reduced, and order completion time is shortened. This helps to improve the competitive position of enterprises in the market and create conditions to improve income for workers, a key factor in retaining high-quality human resources.

KPI has become a powerful support tool in human resource management. Rewards and discipline are now based not on emotions but on specific data, contributing to building a fair and professional working environment. In addition, KPI also helps to promptly detect bottlenecks in the process, creating conditions for change, technical improvement and innovation.

According to Mr. Pham Anh Tuan, Vice President of the Association of Small and Medium Enterprises of Thai Nguyen province: Some enterprises in the province have applied KPI in human resource management. Setting up KPI is necessary, helping business administrators motivate subordinates to complete work and goals; gradually getting closer to the goal set by the unit. Therefore, improving the effectiveness of applying KPI in the production and business activities of enterprises is extremely important.

However, Mr. Pham Anh Tuan noted that to effectively implement KPI, businesses need to prepare adequate infrastructure, enhance internal communication to make KPI a part of corporate culture, and choose a consulting unit with practical experience. These are key factors to help improve the effectiveness of human resource management through KPI.

The successful application of KPI in a number of enterprises and schools in Thai Nguyen province is a clear demonstration of the ability to realize modern management principles in practical conditions. In the context of deep integration and increasing requirements for quality and competitiveness, the replication of KPI in state agencies and units is necessary. KPI is not only a management tool, but also the "key" to open the door to innovation from within each organization.

Human resource management using KPI (Key Performance Indicator) is a method of using quantitative indicators to measure and evaluate the performance of employees, departments, or the entire organization. KPI helps to define goals, monitor progress, and make decisions related to salary, bonus, training, human resource development, etc.
