Save time, money, and reduce errors
From the actual needs of universal education - illiteracy eradication (PCGD-XMC) in the locality, inheriting the survey form that the Ministry of Education and Training had deployed, along with more than 10 years of experience in this field, Mr. Nguyen Minh Giang - Vice Principal of Yen Lac Secondary School (Yen Ninh commune, Thanh Hoa) invested a lot of time and effort to build the program "Printing survey forms for each household from PCGD-XMC data" and "Printing PCGD-XMC Books".
These programs have helped grassroots staff reduce workload, save costs, and improve accuracy in universal data management.
The program helps automate many steps in the dissemination work, such as filtering and exporting survey forms for each household from the aggregated data of the village and commune. Each form is pre-formatted, clear, easy to print and look up, with the ability to automatically paginate according to the number of people (maximum 22 people/household).
In addition to demographic information in the form, the program also supports inserting the signatures of the investigator, village chief, and commune officer to approve the form (if desired). This is very helpful in the dissemination work, reducing time and effort for the implementer and approver.




In addition, the program automatically classifies and exports universal tracking data by age (0-5 years old for preschool, 6-14 years old for primary school, 11-18 years old for secondary school), completely following the model of the Ministry of Education and Training.
In addition to the two main features, the system also has the ability to check and standardize data, support automatic checking of common data entry errors (missing data, incorrect date format, etc.), detect logical errors (for example: education level, graduation is not reasonable compared to year of birth, etc.).
The program also supports automatic progression of students' grades, graduation levels, and graduation years through each school year, saving a lot of effort.
With the integration of tools to quickly print out a series of exported vouchers and books, the printer only needs a few steps, in a few seconds, to command the printer to print out hundreds of household vouchers, without having to open each file, then go to each sheet to perform the print command (which takes a lot of time and effort).
Practical effectiveness
The program works entirely on Excel, the interface is friendly, easy to use and allows customization to suit each locality. Although there are still some minor errors due to the diversity of operating systems or real-life situations, the author always researches, updates and supports users.
Thanh Hoa Department of Education and Training has proposed the Provincial Steering Committee to deploy this free program across the province from 2025, applicable until there are new instructions from the Ministry of Education and Training.
According to the assessment of the Department of Education and Training of Thanh Hoa, the program "Printing survey forms for each household from PCGD-XMC data" and "Printing PCGD-XMC books" initially basically solves one of the four major problems of education in Thanh Hoa province that needs to be implemented in 2025.
Using this program, the author has saved educational institutions about 3 billion VND/year and reduced 80% of the time spent making universal certificates and books for teachers.
Mr. Nguyen Minh Giang shared that he always understands the hardships of the team working on PCGD-XMC and wishes to continue promoting his personal capacity to further support the PCGD-XMC work of the province, contributing to improving the quality of educational management.
