Integrating diploma and transcript data into VNeID: A breakthrough in digital transformation of education

Digital transformation push

Dr. Le Hoang Du - Deputy Director of the Department of Education and Training of Ca Mau province, said that integrating transcripts and diplomas into VNeID is a step in line with the spirit of Resolution 71-NQ/TW of the Politburo on breakthroughs in education and training development. According to him, this is an important foundation to gradually realize the goal of building a digital education system, meeting the requirements of socio-economic development in the digital transformation era.

Integrating digital diploma data not only facilitates students and schools, but also brings great benefits to State management. When data is managed in a unified, accurate and non-duplicated manner, functional sectors can easily conduct statistics and analyze the quality of human resources. These data will become a scientific basis for planning education and employment policies and allocating resources in accordance with the development conditions of each region and industry.

“The Education Department of Ca Mau province has been promoting comprehensive digital transformation. 100% of general education institutions in the area have used school management software systems and professional software; over 90% of public education institutions have equipped teachers with digital signatures. The digitization of transcripts, grade books and connection with common software of the entire industry are being actively implemented to prepare for integration into VNeID,” said Mr. Du.

Mr. Pham Viet Hung - Principal of Dam Doi High School (Ca Mau), commented that integrating diploma and transcript records into VNeID is an inevitable trend in the digital transformation era. He said that paper-based storage has revealed many limitations such as being easily damaged, lost, and difficult to verify.

“When academic records and diplomas are integrated into VNeID, all verification procedures will become faster, significantly reducing time for students and authorities. The school will also be more proactive in management, no longer dependent on paper records. Since 2021, Dam Doi High School has invested in completing technology infrastructure, digitizing all records and diplomas and is ready to integrate into VNeID according to the instructions of the Education sector,” said Mr. Hung.

Mr. Truong Cong My - Head of Student Affairs Department, Maritime University, expressed his agreement and appreciation for the policy of integrating transcripts and degrees into VNeID. This is an important and breakthrough step in the digital transformation process of the education sector, and at the same time, an improvement that is completely consistent with the development trend of modern society.

Digitizing and integrating learning data onto the national electronic identification platform not only helps simplify administrative procedures - which are currently a burden in training and enrollment management, but also contributes to building a unified, transparent information system with high authentication capabilities and easy retrieval when necessary.

Having been in charge of information technology for primary school admissions for many years, Mr. Chu Van Duc (Culture and Social Affairs Department of Hoang Mai Ward, Hanoi) said that integrating diploma and transcript data into VNeID is a big boost for digital transformation in education.

According to him, paper documents have long been a “nightmare” for students and workers. Having to prepare a series of notarized copies is not only costly, but also creates an unnecessary burden. Digitizing diplomas will significantly reduce the “living space” for fraud in education, because data is centrally managed and synchronized, making it easy to compare. This transparency contributes to strengthening social trust in the quality of education and the real value of degrees.

Many practical benefits

According to the opinion of Master Huynh Minh Hieu - Vice Principal of Vietnam - Korea Vocational College Ca Mau, integrating students' transcripts, diplomas and certificates into the national electronic identification platform VNeID will minimize the situation of counterfeiting, editing or misuse of diplomas and certificates, an issue that causes many consequences in the current enrollment, recruitment and recognition of training results.

For educational institutions, digitalization and data integration help reduce traditional administrative workload, especially in the stages of verifying input documents, issuing and confirming output degrees, as well as providing information to employers or authorities.

“When connected to the national big data system, universities and colleges can exploit information for analysis and statistics, serving the development of training strategies, adjusting enrollment targets and curriculum to suit the practical needs of the labor market.

Making learning data transparent through VNeID also contributes to strengthening social trust in the quality of diplomas and certificates; people, businesses and organizations can easily verify learning information in a public and transparent manner.

However, it is necessary to pay attention to the issue of student information security and invest in complete information technology infrastructure for schools. For schools, the digitization of student records, documents, and certificates has been 100% done on the school's management software and is ready to be uploaded to the national electronic identification system VNeID according to the instructions and requirements of the management agency," said Mr. Hieu.

Mr. Ho Si Nhat Nam, Principal of Hoa Binh High School (Ho Chi Minh City), said that the school is proactively deploying technology infrastructure, human resources and operating procedures to meet the requirements of integrating data into VNeID. For many years, schools have been accustomed to managing scores and transcripts through software; Hoa Binh High School alone uses the Enetviet platform to manage all student data.

In the 2024-2025 school year, the school equipped all teachers and staff with digital signatures to ensure that the electronic transcript signing and approval process was carried out quickly and in accordance with regulations. The school organized training, standardized data and reviewed all information. Thanks to careful preparation, the school signed 100% of digital transcripts and transferred data to the Ministry of Education and Training.

“Digital transcripts and digital diplomas will help students and parents look up information easily anytime, anywhere, without worrying about the risk of loss or damage. When applying for university admission, applying for a job or transferring schools, students only need a VNeID account to share data quickly and accurately. For schools, centralized data helps reduce paperwork, avoid errors, and improve connectivity in management. This is an important foundation for moving towards a more modern, transparent and effective education management model.

In fact, there are still concerns about security issues. If students and parents do not secure their VNeID accounts well, the risk of bad guys accessing their digital transcript information is entirely possible. Therefore, the school always guides students to raise their security awareness, set strong passwords, not share OTP codes and keep personal information carefully. This is the key factor for digital transformation in education to take place safely and sustainably," Mr. Nam affirmed.

Sharing the same view, Mr. Truong Cong My said that, for learners, the integration of transcripts and diplomas on VNeID will bring many practical benefits. Learners no longer have to carry notarized copies or wait for manual verification when applying for jobs, submitting applications for further study or completing procedures to go abroad.

With just a single electronic identification account, learners can access and share learning information accurately, quickly and securely. For training institutions, synchronizing data on a digital platform helps improve management efficiency, minimize the risk of errors, fake diplomas and contribute to building a more trustworthy and fair educational environment.

“Looking at the world, Singapore, Europe, and China have all digitized diplomas, even applied blockchain technology to prevent forgery almost completely. Vietnam is behind, but “going later and going for sure” is sometimes an advantage because we can learn from the models and experiences of the countries that have gone before.

This policy is not only timely, but also demonstrates the determination of the education sector in changing traditional operating methods, moving towards a smart, modern, learner-centered education system," said Mr. Truong Cong My.

“Integrating transcripts and diplomas into VNeID brings long-term benefits to the whole society. Students' academic information will be recorded throughout, creating a reliable and transparent digital profile. This helps employers easily verify information, completely eliminating the risk of fraud.

When education data is linked with citizen data, Vietnam will form a national database of human resources, an important factor in policy making and socio-economic development.
